We will use your personal data to send you LCO updates through e-mails, phone calls and postal mail. We currently collect and process the following information:
- Contact information such as name, e-mail address, address and telephone number
- Your interaction with our emails and their content
- If you are a Friend of the Orchard we will also process your personal data submitted in relation to the account and membership such as:
- Name
- Address, e-mail address or other contact details
- Donation history
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- To enable us to communicate LCO updates with you
- Donation history
We also receive personal information indirectly from the following sources in the following scenarios:
- MailChimp which we use to send direct communications to Friends of the Orchard.
We use the information that you have given us in order to:
- Communicate directly with Friends of the Orchard
- Monitor the effectiveness of our communications (whether emails have been opened and embedded links clicked)
- Monitor donations to LCO
Your data may be shared within the Limpsfield Community Orchard. We will never pass on, sell or swap your data for marketing purposes to third parties outside Limpsfield Community Orchard.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information
Your information is securely stored within the European Economic Area (“EEA”) but may also be transferred to and processed in a country outside of the EEA. Any such transfer of data will be in compliance with applicable laws. (MailChimp is a US company with servers in the US where they store data)
We keep your data for direct communication until you withdraw your consent.
We keep records of donation history for a period of 15 years after which time your personal data will be deleted.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
